Employee Visa Expiry in the UAE: An Employer's Renewal Checklist

Employee visa expiry in the UAE: what employers must renew, grace periods, ICP and MOHRE fines, and a 90-day renewal checklist for residence, EID and permits.

By Quickship Editorial Team · Published 21 October 2026

When an employee visa expiry is coming up in the UAE, the employer has to renew three linked things in order: the MOHRE work permit, the residence permit and the Emirates ID. MOHRE lets you renew the work permit up to 60 days before it expires, and the residence visa must be renewed before its expiry date. Miss the dates and the fines start once the grace period ends, at AED 50 per day for overstaying, per ICP as of October 2026.

This guide sets out what each authority requires, the verified fines, and a timeline you can copy into your HR calendar.

What the employer must renew, and who issues it

A private sector employee in the UAE holds three documents that depend on each other.

Document Issued by What it proves Employer's role
Work permit and employment contract Ministry of Human Resources and Emiratisation (MOHRE) The person may work for your company Apply for renewal through MOHRE channels
Residence permit (visa) Federal Authority for Identity, Citizenship, Customs & Port Security (ICP), or GDRFA Dubai for Dubai visas The person may live in the UAE As sponsor, renew before expiry
Emirates ID ICP Identity, linked to the residence file Renewed alongside the residence permit

The u.ae portal is direct about responsibility: the sponsor "must renew your residence visa before it expires". It also says that normally only the sponsor can cancel it. For a company employee, that sponsor is you.

Work permit renewal with MOHRE

The work permit comes first, because the residence renewal depends on a valid employment relationship.

According to MOHRE's renewal service page, checked October 21, 2026:

  • Work permits may be renewed 60 days before their expiry date.
  • The establishment must hold a valid licence with no registered violations.
  • The application must be submitted by the establishment's authorised signatory.
  • Workers in skill levels 5 to 9 must attend a guidance workshop.
  • A MOHRE-approved employment contract signed by both parties is required.

The u.ae work permits page says issuing and renewing costs range from AED 250 to AED 3,450, depending on whether the company is classified A, B or C. It also notes that MOHRE may refuse to renew permits for establishments that are not compliant with the Wage Protection System (WPS).

Late work permit fines

Fines for late issuance or non-renewal of work permits exist, and you must settle them before MOHRE will cancel a permit. MOHRE's current service pages do not state the amount, so we have not quoted one. Check the figure through the MOHRE app or call centre (600 590000) if a permit has already lapsed.

Residence permit renewal and grace periods

Once the work permit is renewed, the residence permit can follow. ICP's renewal service requires that all the original issuance requirements are still met. Its document lists include valid health insurance for most categories and a medical report for several. GDRFA Dubai's private sector renewal page requires a medical examination for anyone over 18.

Grace periods after expiry or cancellation

The UAE does not have one grace period for everyone. ICP lists these, as of October 21, 2026:

Category Grace period
Golden, Green and Blue Residence holders and their families, and some other groups 180 days
Skilled workers in levels 1 to 3, and property owners 90 days
Permits issued with a guarantor or host 60 days
All other categories 30 days

GDRFA Dubai's private sector renewal page, by contrast, states a 60-day grace period. Because the official pages differ, treat the shortest figure as your planning limit and confirm the period for each employee's permit.

Overstay fines

ICP states that a fine of AED 50 per day applies for remaining in the UAE from the day after the grace period ends. The u.ae portal confirms that overstay fees for visit, tourist and residence visas have been standardised at AED 50 per day.

Early renewal and long absences

Two rules catch employers out:

  • Early renewal for travel. The u.ae portal says a residence visa can be renewed one to six months early with ICP approval, for example if the employee will be abroad when it expires.
  • Six months outside the UAE. A resident who stays outside the UAE for more than 180 days in a row has their visa nullified automatically, with some exceptions. If a team member is on long leave abroad, check this before the visa expiry date arrives.

Emirates ID renewal and late fees

The u.ae Emirates ID page sets out the rules, as of October 21, 2026:

  • The Emirates ID can be renewed after expiry or up to six months before it expires.
  • If it is renewed more than one month after expiry, a late fee of AED 20 per day applies, up to a maximum of AED 1,000.
  • Cancelling a residence visa cancels the Emirates ID automatically.

In practice, the ICP renewal service links the residence permit to an Emirates ID application, so a residence renewal done on time keeps the ID current too.

The employee visa expiry UAE checklist: a 90-day timeline

Use this timeline for each employee. Count back from the earliest of the three expiry dates.

When Action Owner
90 days before Pull a list of every work permit, residence permit, Emirates ID and passport expiring in the next quarter HR
90 days before Check the passport has enough validity for a renewal, and ask the employee to renew it first if not HR and employee
75 days before Confirm the role, salary and contract terms for the renewal, and check WPS payments are up to date HR and finance
60 days before Submit the MOHRE work permit renewal PRO or HR
45 to 30 days before Book the medical fitness test and renew health insurance if it lapses first HR and employee
30 days before Submit the residence permit renewal to ICP or GDRFA Dubai PRO
Before expiry Confirm the new residence and Emirates ID details are issued, and update the employee file HR
After expiry, if missed Note the grace period for that permit category and finish the renewal before it ends HR and PRO

Common mistakes

  1. Tracking only the visa. The work permit, Emirates ID and passport each have their own date. Any one of them can block the others.
  2. Forgetting long leave. An employee who spends more than 180 days abroad loses the visa, whatever its expiry date.
  3. Relying on the grace period. The period varies by category, and official pages differ. Plan to finish before expiry.
  4. Ignoring old fines. Unpaid work permit fines must be cleared before MOHRE will process a cancellation.
  5. Keeping dates in a spreadsheet nobody owns. If the reminder depends on one person remembering, it will eventually be missed.

Keeping track without a spreadsheet

Ten employees means at least 40 expiry dates a year across passports, visas, Emirates IDs and work permits. Quickship's HR Module stores each employee's documents in one record and sends a reminder before each passport, visa, Emirates ID or labour card expires. You start the 90-day timeline on time, instead of finding out when a fine appears.

Frequently asked questions

Who is responsible for renewing an employee's UAE residence visa?

The sponsor. The u.ae portal states that your sponsor must renew your residence visa before it expires. For a private sector employee, the sponsor is the employing company, which also holds the MOHRE work permit.

How early can a UAE work permit be renewed?

MOHRE allows work permits to be renewed up to 60 days before they expire. Starting inside that window gives time for the medical test, insurance and residence renewal that follow.

Is there a grace period after an employee's visa expires?

Yes, but its length depends on the residence category. ICP lists 30 days for most categories and up to 180 days for some, while GDRFA Dubai's private sector renewal page states 60 days. Check the period for the specific permit and do not plan renewals around it.

What happens if the Emirates ID is renewed late?

According to u.ae, if the Emirates ID is renewed more than one month after expiry, a late fee of AED 20 per day applies, up to a maximum of AED 1,000. Renewing the residence visa on time usually renews the ID with it.
