Inventory Management Software in the UAE: How to Choose

Choosing inventory management software in the UAE: must-have features, Amazon, noon and Shopify integrations, FTA record needs and a vendor scoring table.

By Quickship Editorial Team · Published 22 October 2026

Inventory management software in the UAE should give you one live stock count per SKU across every warehouse and sales channel, sync that count to Amazon.ae, noon and Shopify, handle returns as real stock movements, and keep records that stand up to a Federal Tax Authority (FTA) review. Test those four things against your own data rather than comparing feature lists. This guide gives you the criteria, the questions to ask vendors and a scoring table you can reuse.

When have you outgrown spreadsheets?

A spreadsheet works while one person updates it and one warehouse feeds it. These are the usual signs that it has stopped working:

  • You oversell on one channel because another channel sold the last units first.
  • The spreadsheet, the warehouse shelf and Seller Central show three different numbers for the same SKU.
  • Returns sit in a corner for days because nobody knows whether to restock, repair or write them off.
  • Inbound shipments are received without checking them against the purchase order.
  • Month-end stock value takes days to work out, and your accountant does not trust it.

If two or more of these are true, it is time to switch. If overselling is your main pain, our guide on how to stop overselling on Amazon, noon and Shopify covers buffer stock and channel rules in detail.

Must-have features in inventory management software for the UAE

Every vendor says "yes" to every feature. This table lists what matters for a UAE seller and how to test it.

Feature Why it matters in the UAE How to test it in the demo
Multi-location stock Many sellers hold stock in a Dubai warehouse, at Amazon FBA and at noon's FBN centres at the same time Ask them to set up three locations and show stock per location and in total
Channel sync Amazon.ae, noon and Shopify each hold their own stock figure Sell one unit on Shopify and watch how long Amazon and noon take to update
Status-based stock Returns, damaged units and stock in transit must not be offered for sale Move a unit to "damaged" and check it disappears from available stock
Movement ledger You need to explain every change to a count, including to an auditor Ask who changed a count, when and why, for one SKU last week
Receiving against PO Short or wrong deliveries from suppliers are common with imported goods Receive a partial delivery and see how the variance is flagged
Returns handling COD culture means returned-to-origin parcels are a normal part of the week Process a return and check it creates a stock movement and a reason code
Batch, expiry and serials Food, cosmetics and electronics often need them Ask to see a batch with an expiry date flow from receipt to sale
Arabic and English data Product names, invoices and customer details often need both Enter an Arabic product name and check it prints and exports correctly
Data export Your accountant and the FTA need your data, not the vendor's Export a full movement history to CSV and open it

Which integrations matter: Amazon.ae, noon and Shopify

Integrations are where most inventory projects fail.

Amazon.ae and Amazon.sa

Amazon's Selling Partner API (SP-API) is the REST interface that gives sellers and their software access to orders, shipments, payments, inventory and listings data (Amazon SP-API overview). The UAE and Saudi marketplaces have their own marketplace IDs, both in Amazon's Europe, Middle East, India and Africa region (Amazon SP-API marketplace IDs). Ask the vendor whether their connector supports both IDs, because a tool built for Amazon.com or Amazon.co.uk may not. Also ask whether they read FBA inventory as a separate location, since units in Amazon's fulfilment centres can only be sold through Amazon.

noon

For sellers who run their own warehouse, noon's Fulfilled by Partner Integration (FBPI) model connects your system to noon by API. noon's help centre says your system should support endpoints for inventory, order processing, shipping status updates and returns handling, and that FBPI serves both noon and Namshi (noon FBPI FAQs). The same page says most sellers use a third-party integrator, though it is not mandatory. So the question for a vendor is specific: do you already support noon's FBPI flows, including returns, or will we be your first noon customer?

Shopify

Shopify treats any warehouse, store or pop-up where you hold stock as a location, and some apps, including third-party logistics services, can act as locations too. The maximum number of locations depends on your Shopify plan (Shopify: Locations). Check that your plan allows the locations your inventory system will create, and decide which system is the "master" for stock. It should be the inventory software, never Shopify and the software at the same time.

How should the software handle returns?

In the UAE, returns come from three places: customer returns on your own site, marketplace returns, and returned-to-origin (RTO) parcels on cash-on-delivery orders that were refused at the door. Good software treats each return as a stock movement with a reason, and does not put the unit back on sale until someone has inspected it.

Look for these states at minimum: "return expected", "received, awaiting inspection", "sellable", "damaged" and "written off". Each change should be logged. Returns also touch your money: an RTO on a COD order means no cash was collected, which is why stock and courier remittances need to agree. Our guide to COD reconciliation in the UAE explains that side.

What UAE VAT and FTA record-keeping means for your stock system

Your inventory system is part of your tax records, whether the vendor says so or not. Article 78 of the UAE VAT Decree-Law requires a taxable person to keep, among other things, records of all supplies and imports of goods, tax credit notes issued and received, goods disposed of or used for non-business purposes, exported goods, and adjustments or corrections to accounts (FTA: VAT Decree-Law, Article 78). Written-off stock, samples, exports and stock adjustments all show up in an inventory system first.

How long to keep them matters too. The FTA has reminded Corporate Tax taxable persons to keep relevant records for at least seven years from the end of the tax period they relate to (FTA press release, August 2025). VAT retention periods are set in the tax procedures regulations, which have been amended, so confirm the current period with your tax adviser. In practice, choose software that lets you keep and export your full movement history for at least seven years, including after you stop paying for it.

E-invoicing is coming as well. The UAE Ministry of Finance has announced a national Electronic Invoicing System for business-to-business and business-to-government transactions. Businesses with annual revenue below AED 50 million must appoint an Accredited Service Provider by 31 March 2027 and implement the system from 1 July 2027, with larger businesses going earlier (UAE Ministry of Finance). Your inventory tool does not issue tax invoices itself in most setups, but it must pass clean item, quantity and value data to whatever system does. If you plan to sell into Saudi Arabia, VAT-registered sellers there already work under ZATCA's e-invoicing (Fatoora) rules (ZATCA: E-Invoicing).

Questions to ask inventory management software vendors

Send these in writing and ask for written answers.

  1. Which Amazon marketplaces does your connector support today? Show us Amazon.ae working, and Amazon.sa if we plan to sell there.
  2. Do you support noon's FBPI flows for inventory, orders, shipping status and returns, and how many noon sellers use it now?
  3. How often is stock pushed to each channel, and what happens when a channel's API is slow or down?
  4. Can we see a full movement history for one SKU, with user, time and reason for every change?
  5. How are returns, damaged units and RTO parcels handled, and can we set our own reason codes?
  6. Can we export all our data, including movement history, at any time and after we cancel? In what format?
  7. Where is our data hosted, and who can access it?
  8. How does stock and cost data reach our accounting system, and who maintains that link?
  9. What is the total 12-month cost for our SKU count, order volume, users and channels, including setup and integrations?
  10. Who supports us, in which time zone, and how fast do they respond during Ramadan, White Friday and other sale peaks?

A scoring table to compare vendors

Score each shortlisted vendor from 1 to 5 on each criterion after the demo, multiply by the weight, and add up. The weights below are an example for a seller on Amazon.ae, noon and Shopify with one Dubai warehouse; change them to fit your business.

Criterion Weight Vendor A Vendor B Vendor C
Amazon.ae and noon integration proven in demo 25%
Multi-location and status-based stock 20%
Returns and RTO handling 15%
Movement ledger and data export 15%
Accounting and e-invoicing data handover 10%
Total 12-month cost 10%
Local support and response times 5%

A vendor that scores low on the first row should be dropped, whatever its total. Channel sync is the reason you are buying.

Common mistakes when choosing inventory software

  • Buying on the demo data. Always ask to load 50 of your own SKUs, including your messiest variants.
  • Two masters for stock. If Shopify and the inventory tool both adjust counts, they will drift. Pick one.
  • No exit plan. If you cannot export your history, you cannot change vendor or answer an FTA query later.
  • Skipping the parallel run. Run the old spreadsheet and the new system side by side until the counts agree.

If you want a starting point to test against these criteria, Quickship's Inventory Module keeps one stock count per SKU across your warehouses and sales channels, pushes available quantity to your channels, and records every change with a reason, a user and a time. Score it like any other vendor.

Frequently asked questions

How much does inventory management software cost in the UAE?

It varies too much to quote one figure. Vendors price per user, per order volume, per warehouse or per connected channel, and many charge separately for setup and integrations. Ask every vendor for a written total for your actual SKU count, order volume and channels over 12 months, so you compare like with like.

Do I need a full ERP, or is inventory software enough?

If your main problems are stock counts, channel sync and returns, dedicated inventory software that exports clean data to your accounting system is usually enough. An ERP makes more sense when you also need manufacturing, complex purchasing approvals or full accounting in one system. Either way, check that stock movements reach your books with the detail the FTA expects.

Can one system manage stock in the UAE and Saudi Arabia?

Yes, if it treats each warehouse as a separate location and keeps currencies and tax settings per country. Remember that moving goods from Dubai to Riyadh is a cross-border shipment with customs declarations, not an internal transfer, so the software should record it in stages rather than as an instant move.

How long does it take to move off spreadsheets?

It depends on how clean your data is, more than on the software. Clean SKU codes, one opening stock count per location and mapped marketplace listings are the slow parts. Plan a parallel run of a few weeks where the new system and the spreadsheet are compared daily before you switch off the spreadsheet.

Does UAE e-invoicing apply to my Amazon and noon sales?

The Ministry of Finance's announcement covers business-to-business and business-to-government transactions and does not name business-to-consumer sales. Your supplier invoices and any B2B sales are in scope, so check with your tax adviser how your marketplace setup is treated and when your phase starts.
